AI Phone Assistant for
Miami Clinics

Miami's med spa and aesthetics market moves fast, runs late, and speaks two languages. RTC builds and manages AI phone assistants for Miami clinics that call every lead back in minutes, answer in English or Spanish, and book straight into your calendar.

The Problem

Miami Patients Enquire at Midnight.
Your Front Desk Does Not.

Miami has one of the densest aesthetics markets in the country. From Brickell and Coral Gables to Wynwood, Miami Beach and Aventura, patients have endless options and almost no patience — and a huge share of enquiries arrive well after your clinic has locked up for the night.

By the time a Miami front desk works through the overnight backlog, a good portion of those people have already booked somewhere else. Not because the other clinic was better, but because it replied while the intent was still hot. Speed-to-lead research is consistent on this: response time inside the first few minutes converts dramatically better than a callback the next morning.

There is a second thing generic vendors miss here. A large share of Miami patients would rather have this conversation in Spanish. An assistant that can only operate in English is not a Miami solution — it is a Miami liability.

What RTC Does for Miami Clinics

Bilingual, Always On,
Built for Miami

We set up an AI phone assistant that works your Miami clinic's enquiries around the clock. Leads from Instagram, Meta ads or your website get a callback within minutes — including the late-evening window when so much of Miami's aesthetics interest actually happens.

The assistant is configured to operate in English and Spanish, switching to whichever the caller is comfortable in. For a Miami med spa this is not a nice-to-have. It is often the difference between a booked consultation and a polite hang-up.

Scripts are written around your specific Miami clinic — your treatment menu, your consultation structure, your pricing approach, and the objections your patients actually raise. The assistant books live into the scheduling system you already use, then confirms appointments ahead of time and offers a reschedule, which protects your calendar from the no-show rate every busy Miami clinic quietly absorbs.

Where you have documented consent, it also works through patients who have gone quiet and invites them back. In a market where acquisition costs keep climbing, a rebooked past client is the most profitable appointment on the Miami books.

Built Compliant

The Part Most AI Vendors
Skip Entirely

An AI assistant that phones your patients touches two things regulators care about: personal health information and automated calling. Plenty of vendors will sell you a bot and leave the legal exposure on your desk. We set the system up so the rules are handled from day one — and we tell you plainly where the limits are.

How we configure every clinic deployment

  • The caller always knows it is AI. Every call opens by identifying the assistant as an automated assistant calling on behalf of your clinic. Regulators are moving toward requiring this, and patients respond better to honesty than to a bot pretending to be a receptionist.
  • Consent before outbound. In February 2024 the FCC confirmed that AI-generated voices count as an artificial voice under the TCPA, which means outbound calls to US numbers need prior express consent. Canadian outreach sits under CASL and CRTC telemarketing rules. We only build outbound campaigns against lists where consent is documented, and we wire in Do Not Call handling and permitted calling windows.
  • Minimum necessary patient data. The assistant is scoped to booking and follow-up — names, contact details, appointment times, general service interest. It is not configured to collect clinical detail, and it is not a place for patients to discuss medical conditions.
  • Vendor agreements in place. Ontario clinics operating under PHIPA remain the health information custodian, and US clinics under HIPAA need a signed BAA. We help you get the right agreement with the platform before a single call goes out, and we confirm where your data is stored.
  • A human is always one step away. Every call has a clear route to a real person at your clinic. Anything clinical, sensitive, or unusual gets escalated rather than answered by software.

Reel Time Creations is a marketing agency, not a law firm. We build to current best practice and we will tell you what we know, but your clinic should have its own privacy officer or legal counsel review the setup before go-live. Any vendor who tells you compliance is fully their problem is selling you something.

Why RTC in Miami

Why RTC for
a Miami Clinic

01

We already work the Miami market

RTC serves clinics in Miami alongside Toronto and New York, with on-site content shoots available in Miami. We know what the market promises and what patients here expect before they book.

02

Bilingual by default

English and Spanish are configured from day one, not bolted on after a patient complains. For a Miami med spa that is a baseline requirement, not an upgrade.

03

Built on top of your lead gen

We run the content and ads generating your enquiries, so the assistant is configured around your real lead sources and funnel rather than a vendor's template.

How It Runs

How a Miami Deployment
Actually Works

No long onboarding. Most Miami clinics are live in two to three weeks, and the bulk of that time goes into scripting both languages properly rather than technical setup.

01

Discovery & Scripting

We map how enquiries currently reach your clinic and where they stall. Then we write the assistant's scripts around your real treatments, pricing approach and the objections your patients raise.

02

Build & Integration

We configure the assistant in English and Spanish, connect it to the scheduling software your Miami clinic already uses, and set up the compliance pieces — AI disclosure, consent handling, Do Not Call screening, and escalation to your team.

03

Testing With Your Team

Your staff call it in both languages, try to break it, and tell us where it sounds wrong. Spanish gets tested as thoroughly as English — a bilingual assistant that only works properly in one language is not a Miami solution.

04

Launch & Optimise

We go live, then review real transcripts every month. Scripts get sharpened, weak answers get replaced, and booking rates climb. This is a managed service, not a switch we flip and walk away from.

FAQ

Questions from
Miami Clinic Owners

Are you based in Miami?

+

RTC is headquartered in Toronto and serves clinics in Miami and New York as core markets. The AI assistant work is configured and managed remotely regardless of where you are — and for the content and on-site filming that pairs with it, our team travels to Miami. If you want a local face for a shoot, that is arranged around your schedule.

Can the assistant handle calls in Spanish?

+

Yes, and for Miami we configure it that way from the start. The assistant can open in English and switch to Spanish when the caller prefers, or lead in Spanish depending on your patient base. We test both languages with your team during setup. Anything that is not going smoothly routes to a human on your side rather than being forced through.

Is it legal to call our patient list in Florida?

+

It depends on your consent records. The FCC confirmed in 2024 that AI-generated voices fall under TCPA rules, so outbound calls to US numbers require prior express consent, and Florida has its own telemarketing statute with stricter provisions. We only build outbound campaigns against documented consent, and we screen against Do Not Call lists. We are not lawyers — have counsel review your list and setup before launch.
